How to Archive Your Family Heirlooms

I love reflecting on the year’s worth of memories to celebrate the new year. It’s incredible how much change can occur within a year. Especially while having little ones. *Sigh*  They grow so fast and if you blink you’ll miss it! So I’m ALWAYS capturing photos and video footage of my kids to create our family heirlooms through highlight reels and photo albums to reflect back on.


Here’s the best way to digitally archive and organize your family photos throughout the year. 

1. Create Albums and Folders

As a photographer, my professional camera is my go-to for family photos and video footage for major milestones, adventures and milestones. Every season, I take self-portraits of my family and I all dressed up at a beautiful location. This is so important to me because of how much my kids grow and our appearances can change in just a few short months. I highly recommend professional photos of your family at least once a year.  For all other moments, I’m using my smartphone like everyone else. In either case, I create albums and folders on both my phone and computer hard drive to save and store all my photos and footage. 

Have physical photos? Write the month and year on the back of each photo. More on this in the next step.

2. Organize by Year and Occasion

Sort your photos chronologically—by year, month then by occasion or event. This organization makes it easy to locate specific memories, especially when family members ask for pictures from a particular year or event or when creating your annual family album or highlight reel at the end of the year.

Example Structure:

  • 2025 
    • January 
      • New Years
      • Birthday Celebrations
      • Family Vacation

3. Use High-Quality Storage Solutions

For physical photos, use acid-free boxes and photo-safe albums, folders or binders to protect your prints from deterioration. If you’re archiving digital photos, opt for high-quality external hard drives or cloud storage solutions for added protection against data loss.

4. Digitalize Physical Photos

There’s nothing like having physical photos to bring your family memories to life. However, physical photographs are more prone to damage and loss. Consider backing up your photographs by using a scanner or smartphone app to easily digitize prints, allowing you to store and share them without risking damage to the originals. This step also allows for better organization using digital folder systems.

5. Regularly Back Up Digital Copies

Use multiple backup methods for your digital photos. Consider a combination of external hard drives, USB drives, and cloud storage services. Set a reminder to back up your files regularly—ideally after each family event or at the end of the year.

6. Label and Tag Your Photos

When archiving digital photos, take the time to label and tag them with relevant information, such as dates, locations, and the people in the pictures. This practice will make searching for specific photos much easier in the future.

7. Create Themed Albums

In addition to annual archives, consider creating themed albums based on important family milestones—birthdays, holidays, vacations, or school events. These themed albums can serve as a sentimental gift for family and friends or a great coffee table book for your home. The perfect way to preserve family heirlooms.

8. Make Use of Photo Albums and Book

Invest in family heirlooms to preserve and pass down to each generation through family albums and books. These books not only preserve your family photos beautifully on tear-resistant, fade resistant paper but also tell a story. Add a special touch with linen or leather album covers embossed with your family name. 

9. Engage the Whole Family

Organizing photos together is a fun bonding activity with loved ones. Encourage everyone to pick their favorite photos to include in the annual album.

10. Review and Refresh Regularly

Set a quarterly schedule to review your family photo archive. This should only take 30 min to an hour, This is a great opportunity to remove duplicates, fix any disorganization, and relive cherished moments. This can become a sweet family activity.

Waiting until the end of the year to archive annual family photos can be overwhelming and cause some key memories throughout the year to slip through the cracks. Ever come across some old photos you completely forgot about? With a bit of organization and creativity, you can preserve your most cherished memories. Your future self will thank you!
